As someone who has been a part of community ran event in other games, I suggest opening teams to 7-8 persons with their characters assigned (if they so choose). Then on the day of the event, each team must lock in their 6 characters that will be used.
This will prevent a team from needing to forfeit if one of their members can't make it that day due to life. It might lead to a strange team comp if one of their tanks drop out and they have only have dps/heals reserve players. But a strange comp is better than requiring a forfeit.

I am not opposed to this idea, as long as the teams are locked in before the event. I know real life **** can happen, however, I do not want people to drop in and out while the event is going. This is due to both time and for me to know who is on what team and playing what.
But should a team who has signed up tell me before the event that one of their players dropped out and they need to make a last minute change, that is fine. As you said rather have games than a forfeit, so everyone can have some fun.

How bout those teams got more than 6 people and wanted to rotate thier players ?

That will not be possible.
A team will consist of the same 6 people all the way through.
Maybe if this is a success then next time I can set it up for rosters and people can rotate players. However, right now for this first tournament, I want this to be somewhat easy to manage, and knowing who is playing in what team makes it so

Okay so after some requests (quite a few) and some thinking I am going to change the rules here a little bit.
Each team is allowed to have TWO substitution players. So a roster can consist of a total of 8 people. Which also means that this will be 8 CHARACTERS on a team. You are still not allowed to log off and change toons mid-tournament. But please note in order for everything to run smoothly and so that it does not take all night, please have all 8 players ready!

extended sign up deadline until 6 hours before event start. A few teams need just a little more time to figure out their last roster spots
